ADMINISTRATIVE ASSISTANT
Assist Director of Operations as needed
Prepare agenda for General Staff Meeting
Send out notices to Admin Directors of the meeting date, time and location
Circulate attendance sheets at meeting and copy and distribute to managers
Take meeting minutes
Send GSM minutes to President for approval
Once approved, distribute minutes to the Admin Directors
Responsible for managing the United Way Campaign, including signing up staff
Keep accurate logs and control of gas cards, ensuring they are signed out and returned
Sign out cameras, keep charged and download photos for each house
Call for Alarm System repair or testing
Prepare and submit Level of Care
Train as backup for mail processing
New Employee Training:
Incident and Accident Reporting
Emergency Preparedness
Hazardous Communications
Fire Safety
Send out ICF applications as requested. Circulate completed applications to admissions committee. Receive determination and notify applicant. Keep on file
NC Tracks
Process inquiries from DSS, SS and MCO
Medicaid review paperwork
Any additional SSA, Medicaid, Medicare paperwork
Representative Payee Reports
Set up adjudication hearings, help guardians with guardian hearings
Keep consultants’ files up to date
Back up for Incident/Accident reports
Vehicle registration and inspection, also fleet maintenance
Human Rights Committee Secretary
Volunteer Coordinator
Monitor and forward all incoming faxes
Update medical and administrative information forms and mailing labels
